Following from the 2005-08 year with Gary Stocker & Murray Butler, and the innovative move to bring new members into Nelson West, the plan continues.

The Membership Programme

  • Phase ZERO:    Look at the club to determine if you are welcoming, friendly, a place where you want to be at.  This process should take a long time, maybe a year or two when you look at the club at every level.  From the President to how easy is it to determine that a Rotary meeting is being held inside.
    We need a sign that can be put outside on the footpath....

  • Phase One:    Set the end Date (Induction night) - This for us will in future be Membership Month - August

  • Phase Two:    Set a night at the club for the Rotary Awareness Briefing - 6-8 weeks prior to induction

  • Phase Three:    Set a start date at least two-four months prior.

  • Phase Four:    Get members to think of names / classifications / areas that could come along.

  • Phase Five:    Send letters to these people advising them of the evening.  Sample Attached.

  • Phase Six:    Get the proposer to follow up with these people and organise to get them and their partners / spouses along to the meeting.

  • Phase Seven:    Ensure the membership make these people feel very welcome.  Drink & meal provided by the club.  The Membership team, President & Long Service Member are the Speakers for the night.

  • Phase Eight:    Present the evening.  PowerPoint attached.  Brochures and Informational Material available.

  • Phase Nine:    Get the proposer to follow up the prospective members in the following 3-5 days.  Get a membership proposal card filled in.

  • Phase Ten:    Get Board approval & circulate the membership - club rules - 2 weeks notice.

  • Phase Eleven:    The proposer & Membership person meet informally at the home of the prospective member OR at the members home and invite up to 4 couples to attend.  Session notes attached and will last approximately 2 hours.  Get prospective members to commit to membership & fill out a membership information sheet.

  • Phase Twelve:    The membership information sheet to Membership Chair for noting & Classification, then to Secretary for organising Badge & welcome kit.

  • Phase Thirteen:    Induction night as determined at Phase One will be held.  We have a speech that we think is good.

The Result - Did it work?

Membership 26 - 31/5/2006

 

Nelson West held the first of two Rotary Awareness nights on May 31st 2006.  Eleven Prospective members attended.  The first informal meeting with prospective members was held Monday 3rd July which signed up 4 members.  The other informal meetings are to be held with induction of 4 new members to be held July 26th, one more the following week.

 

People who could not attend the first meeting have been invited to a second night on July 19th.  This is currently at 6 prospective members and some partners.  Still some are unable to attend so they will be invited to normal meetings.

 

Membership 30 - 26/7/2006 - up 4 or 15%

Tonight we inducted Nancy White (David), Steve Miller (Rosemary), Gavin Peterson (Tracey) and Ian Tolerton.  Next week we have one more - Dick Carter who could not make it tonight.

Membership 31 - 2/8/2006 - up 1 more, now 5 or 19%

Dick Carter was inducted tonight.

Membership 32 - 11/9/2006 - up 1 more, now 6 or 23%

Christine Tzanetis (Dimitris) was inducted tonight.

We have more 'in the system' so watch this space.....

The Key

The key to the system is the enthusiasm and support of the members to put forward names, and the feeling of the special night where Rotary is introduced to them.  This concept is a complete reversal of the normal process where one person will come to a meeting and look at us and may not get the time commitment that is necessary back to them.  Interest will then be lost.

We looked at out club in some depth for some time (around 18 months) and sorted out some internal issues to make the Club a better place to be.

Two people are needed to drive is process.

FINALLY - There must be fireside meetings held and nights through the year that focus on particular aspects of Rotary.  There must be plenty of fellowship, and plenty of projects that can undertaken, both short and long term.
