Hi Everyone. We just wanted to let you know our next orientation session is coming up, and we are planning a fantastic weekend at St Arnaud, just south of Nelson.

The enclosed information is to let you know a little about the weekend at Rotoiti Lodge and how the weekend will work.  This weekend is a compulsory weekend for all Youth Exchange Students either selected for the programme going out of New Zealand (Outbound) and all students currently in New Zealand from other countries (Inbound) for our district.

So grab a cuppa, read on and we look forward to meeting you all there on the weekend of August 12th – 14th

Rotoiti Lodge – read directions below

When:
Friday August 12th (any time after 5.00pm, dinner from 6 p.m.) to Sunday August 14th (finishing about 2.00pm)

Programme:
The full programme is available on our web site www.rotary9970.org.nz – All students must attend their relevant sessions and all parents and siblings are invited to take part in all areas.

Risk Management Plan:
We have filed a Risk Management plan with District for this weekend's camp. – The safety of our students and visitors to the camp is important to us.

Accommodation:  Please take careful note -
This is 'backpacker style accommodation so you have a room (some to share) with a mattress.  You need a sleeping bag / bed linen, towels etc.  Common facilities are shared by all.
Those wanting motel style accommodation, bedding etc provided, need to book their own, and the cost for this will be over and above the quoted costs for the weekend.  Please Note: All students of the Youth Exchange programme either inbound or outbound are required to stay on site.  Parents and siblings may choose accommodation either on site - We will arrange onsite, or you to arrange offsite.

WHERE IS IT?

Drive in to Rotoiti Lodge which is close to the Western end of St Arnard down a long drive.

WHAT TO BRING

Students – any musical instruments, special talents that could be showcased

Everyone who would like onsite accommodation and all students:

Bedding, pillow, sleeping bag (unless staying offsite)
Towel, face cloth, soap.  All normal stuff.
Normal toiletries
Eating: (dinner plates, bowl, cutlery are provided)
Boots (tramping – inbound students)
Camera
Notepads (especially for Outbound’s & families)
Inbound Students bring blazers please

COSTS (estimates at this stage):

RYE committee & students covered by RYE.

All other attendees are asked to contribute to the costs we incur:

·         $10 per person for food on Friday (dinner)

·         $35 per person for food on Saturday (breakfast, lunch & dinner)

·         $15 per person for food on Sunday (breakfast & lunch)

·         $25 per adult per night for onsite accommodation

·         $15 per child (2-14) per night for onsite accommodation

·         $10 per person per day if visiting camp and not staying onsite

Example: Adult staying onsite, all weekend $110
Example: Adult attending all & eating with us but staying offsite $80

GENERAL

Committee & helpers to be at Hanmer as early as possible please.  We intend arriving from 3 p.m.
Outbound students to have presentation on CD or data key.  These will be shared.

Inbound & Outbound students to give speeches & presentation.  We will send topics.

STUDENTS – please check with your club to find who is coming from your club, when, and if they require accommodation.  Everyone is welcome to attend, go to the pools etc.  All must have checked with Nancy White about attendance.
